Help Ticket System

Once you are logged in to the qdatabay.com website with a unique user account, simply click on the Help Ticket System hyperlink located on the Support pull down list at the top of the website. To create a new help ticket, simply initiate a new ticket request from the help ticket page and submit. All of the records of your questions and answers are stored in the Review Ticket History listing. You can review your open and closed tickets at any time, and even re-open a help ticket just by asking another question within the same ticket.

Navigate to Support/Submit Ticket. Click on Create Account. You will be asked to enter a unique email ID and a password. Please note that this information will never be sold or otherwise distributed to a 3rd party. Refer to Quality Data Bay’s Privacy Notice.

The Quality Data Bay support team will address and answer your question(s) within 24 hours of receipt.

We recommend that you re-open the ticket by responding to the answer to your original question. In this way, you will have a record of all the questions and answers regarding the help ticket subject.

QDB Central Database

The QDB Central database serves two main functions: 1. storing records that are common to multiple QDB products; 2. providing a secure means of protecting passwords. If you only have one database product installed, it still requires the QDB Central database to function. QDB Central should be stored on your network in a location where all users have write permission. Only the Quality Data Bay databases installed on your server are able to write to and access data on the QDB Central database.

After the QDB Central database is installed on your network, when you open the quality system database for the first time, it will connect to the QDB Central database. Under certain conditions (such as moving the location of one of your Quality Data Bay products on your network), you may be required to re-point your database to QDB Central. Whether your Quality Data Bay product is a Trial or Standard version, QDB Central is password protected, preventing users from directly accessing it.

Yes. Since the QDB Central database is a required companion database, there is no charge to operate the license.

Standard Licensing

Yes. Quality Data Bay offers customization services for our customers who require a level of customization beyond the standard offering. Our support team can remotely access your database (with your permission) and make customizations according to your specifications.

Upgrades

There are two ways: You can start from the database upgrade form. This form will redirect you to the exact qdatabay website page needed, and auto-populates the trial license number needed for your purchase. From here, simply add the database version to the shopping cart and proceed to checkout. After checkout, you will receive an immediate website confirmation email with the new license number and product key for your product. You can also start from the qdatabay website, find the version you are looking for, type in the existing license in the place provided when prompted and proceed to checkout. After checkout, you will receive an immediate website confirmation email with the new license number and product key for your product. Once you have the new product key, copy and paste into the database upgrade form.

Admin Users and Passwords

Passwords are used to establish user identity and permission level to maintain the integrity of the database. Your password is also used as your electronic signature.

At the bottom of the main screen, look for the Change PW command. Once you click on it, you will be directed to the employee form where you can change your password.

Having more than one admin user ensures that if one of the admin users forgets their password, the other can perform a password reset. If you are using more than 1 product, be sure to allow more than 1 admin user access to each database. An admin user can reset the password for any user as long as they have access to the same database as the user that requires a password reset. Refer to the operator manual for more information. The alternative is to contact Quality Data Bay for support. Note that each employee needs only to maintain a single (global) password to access 1 or more databases.

When a user makes a certain number of failed attempts to enter the database, a form, or takes action that requires authentication, the database closes automatically and a notice is sent to the admin users. An admin user must reset the password before this user can be granted access to the database again. The number of failed attempts before a password violation is incurred, is set in general customization.

When the admin user receives a password violation notice, they can choose to reset the password for this user. This is accomplished within the employee setup and customization form. When the admin user resets the password, the system will generate a temporary password that can be emailed to the user.

Concurrent Users

Quality Data Bay believes you should not be limited in the number of users who can access the database at a given time. All of our licenses offer unlimited concurrent users. As your business grows, simply add the new employees using the customization menu screens, and they are ready to work – with no extra licensing costs.

Customization

Quality Data Bay recommends that you use the database for several months to become familiar with all the features and functionality. We understand that all companies are unique, so if you still feel your company could benefit from changes to the database functionality, then customization may be a good choice.

The Quality Data Bay help ticket system is used to place a customization request. Once the initial request has been made, a representative will contact you to review your desired changes in more detail. A customization estimate is then drawn up and submitted. Once an agreement has been made, simply log on to qdatabay.com and purchase the customization in the required number of units according to your customization estimate.

Quality Data Bay charges $185per hour for customization when performed remotely and $210 per hour for customization performed if we come to your facility (on-site).

Revision Updates

Revision updates are normally very specific changes or customizations to the database. For instance, you may wish to download a revision update to change the color scheme of your database. There may be an update to a database field, form, report or query function. You may wish to improve your database with a new, available feature. A revision update can also be used to fix a software bug.

Go the Downloads page on the Quality Data Bay website, www.qdatabay.com\downloads and click on the revision update for the database you wish to update. The revision update is a small database file.

Once the database file is downloaded, place the file where it can be accessed by the admin user making the update. Now go to the Maintenance form in the setup and customization menu. Admin permissions are required. Then click on the Revision Update command, locate and select the revision update file you downloaded, and run the command. It only takes a few seconds for the update install. Now, your database is ready to use again.
